Overview

CohortClarity is a product of Kettle Hole Partners LLC, a Massachusetts limited liability company ("we," "us," or "our"). We operate the website at cohortclarity.com and the application at app.cohortclarity.com (together, the "Service"). CohortClarity is a B2B analytics platform that connects your marketing and CRM data to give you a clear view of the full revenue lifecycle of every lead.

This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our Service, you agree to the collection and use of information as described here.

This is a business-to-business service. CohortClarity works with company clients and their designated administrators. We do not knowingly collect personal data from consumers or individuals outside of a business relationship.

Information We Collect

We collect information in two broad categories: information you provide directly, and data from the third-party platforms you connect to CohortClarity.

Account and contact information — When you sign up, book a call, or correspond with us, we collect your name, business email address, company name, and any other details you choose to provide.

Connected platform data — When you authorize CohortClarity to access your marketing and CRM accounts, we retrieve and store the following categories of business data on your behalf:

  • Advertising spend, impressions, clicks, and campaign performance data from platforms such as Google Ads
  • Lead and contact records, pipeline stages, and deal data from CRM systems such as HubSpot
  • Aggregated cohort metrics derived from the above, including time-to-close, cost per deal, and conversion rates by month

Usage and technical data — We automatically collect information about how you interact with the Service, including pages visited, features used, browser type, IP address, and device identifiers. This helps us improve the platform and troubleshoot issues.

How We Use Information

We use the information we collect solely to provide and improve CohortClarity. Specifically, we use it to:

  • Build and display cohort analytics dashboards, pipeline reports, and new client projections specific to your account
  • Generate AI-powered marketing recommendations based on your historical performance data
  • Send you service-related communications, including onboarding guidance, report summaries, and support responses
  • Maintain and improve the technical performance and reliability of the Service
  • Improve our algorithms and platform features using anonymized, aggregated, and de-identified data that cannot reasonably be used to identify you or any individual
  • Comply with legal obligations

We do not use your data to train general-purpose AI models, nor do we use it to build advertising profiles or for any purpose unrelated to delivering the CohortClarity service to you.

Third-Party Integrations

CohortClarity connects to external platforms to retrieve your marketing and CRM data. These connections are established only with your explicit authorization. Current integrations include platforms such as:

  • Google Ads — for advertising spend and campaign performance data
  • HubSpot — for lead, contact, pipeline, and deal data
  • Salesforce — for lead, contact, pipeline, and deal data

We continue to add new integrations over time. When you connect any platform, you authorize CohortClarity to read the data necessary to power your reports. We do not write to or modify data in your connected platforms. Your credentials are managed securely and are not stored in plain text.

Each third-party platform has its own privacy policy governing how it stores and processes data. We encourage you to review the policies of any platform you connect.

Data Sharing

We do not sell, rent, or trade your data to third parties. We share data only in the following limited circumstances:

  • Service providers — We use trusted infrastructure providers (including Supabase for data storage and Make.com for workflow automation) to operate the Service. These providers access only the data necessary to perform their functions and are bound by confidentiality obligations.
  • Your organization — Data in your CohortClarity account is accessible to the administrators and authorized users within your organization.
  • Legal requirements — We may disclose information if required to do so by law, regulation, or valid legal process.
  • Business transfers — In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction. We will notify you of any such change.

Data Security

We take the security of your data seriously. CohortClarity uses industry-standard measures to protect your information, including encrypted connections (TLS/HTTPS) for all data in transit, access controls that restrict data to authenticated and authorized users, and a client isolation model that requires a unique client ID to access any data — ensuring no client can access another client's information.

In the event of a confirmed unauthorized access to your Client Data, we will notify you without undue delay following our discovery of the incident.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially reasonable means to protect your data, we cannot guarantee absolute security.

Data Retention

We retain your account information and connected platform data for as long as your subscription is active. If you cancel your subscription or request deletion, we will remove your data from our active systems within 30 days, and from backups within 90 days, unless we are required by law to retain it longer.

Your Rights

Depending on your location, you may have certain rights regarding your personal information. These may include the right to access the information we hold about you, request correction of inaccurate data, request deletion of your data, object to or restrict certain uses of your data, and receive a copy of your data in a portable format.

To exercise any of these rights, please contact us using the information in the Contact section below. We will respond within a reasonable timeframe and in accordance with applicable law.

Cookies and Tracking

Our website uses cookies and similar technologies to support navigation, remember your preferences, and understand how visitors use the site. Specifically, we may use:

  • Google Analytics — to collect aggregated data on how visitors interact with our website, such as pages visited and time on site
  • Google Tag Manager — to manage and deploy tracking tags on our website without modifying code directly
  • Google Ads (AdWords) — to measure the effectiveness of our advertising and to show relevant ads to people who have visited our site

Children's Privacy

CohortClarity is a business-to-business service and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will promptly delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page and, where the changes are material, notify you by email or through a notice in the application. Your continued use of the Service after any changes constitutes your acceptance of the updated policy.
